Privacy notice

How Kybra uses your personal data, how long we keep it and your rights.

Last updated: [Placeholder: date at launch]

Who we are

Kybra is [Placeholder: legal name, company number and registered address]. We decide how your personal data is used, which makes us the 'controller'. Contact us at Placeholder: email to be agreed.

What we collect

  • When you send us your idea: your name, email address, business or project name, and what you tell us about your project.
  • When you email us: your messages.
  • When you have a call with us: we may record the call and have it transcribed by a third-party service, so we have an accurate note of what you need. We make written notes and specifications from it.
  • This website uses no non-essential cookies: nothing for tracking or advertising, and no analytics.

Why we use it, and our lawful basis

  • To reply to you and talk about your project (legitimate interests).
  • If you go ahead, to prepare and carry out our agreement with you (steps before a contract, then the contract).
  • To keep the enquiry form secure and stop spam: when you send it, we keep a scrambled (hashed) form of your internet address for up to an hour, then delete it (legitimate interests).

Who we share it with

Service providers who run parts of our work for us, only to provide their service: website hosting and database [Placeholder: provider], email [Placeholder: provider], call recording and transcription [Placeholder: provider(s)], and the software services we use to write up and organise call notes and specifications [Placeholder: providers]. We don't sell your data.

Transfers outside the UK

[Placeholder: which providers process data outside the UK and the safeguards used, e.g. the UK International Data Transfer Agreement or the UK–US data bridge. Solicitor to confirm.]

How long we keep it

We keep enquiries for 12 months, and call recordings and transcripts for 12 months, then delete them.

Your rights

You can ask for a copy of your data, and ask us to correct it, delete it, limit how we use it, stop using it, or give it to you in a format you can take elsewhere.

Contact us at Placeholder: email to be agreed. You can also complain to the Information Commissioner's Office at ico.org.uk.
